Follow A Clear Cover Letter Structure

A strong structure keeps the letter focused and prevents it from turning into a second resume. The reader should understand who you are, why you are writing, and why you fit the role within a few short sections.

Start with the right order

Structure matters because it reduces friction for the employer. Put your information, the recipient information, and the body in a sequence that feels predictable and professional.

  • Header: your name, city, phone, and email.
  • Date: use a clear month, day, and year format.
  • Recipient block: hiring manager or recruiter name, title, company, and location details when available.
  • Salutation: use a direct greeting rather than a generic opener whenever possible.

Build the body in three short parts

Opening paragraph State the role, where you found it, and the short version of why you are applying. This is also the place to show that you understand the company or team.
Middle paragraph Connect your experience to the work. Choose a few relevant strengths, outcomes, or certifications instead of covering every job in your history.
Closing paragraph Reconfirm interest, invite follow-up, and make the next step obvious. Keep the ending direct and professional.

Formatting rules that help

Good structure is not only about section order. It is also about how easy the page is to read.

  • Keep paragraphs compact. Dense walls of text reduce response rates.
  • Use consistent spacing so the page looks intentional.
  • Do not overuse bold text, capitalization, or decorative language.
